Designing a Scalable Internal Comms Design System

I created a branded email template system to elevate employee engagement and internal culture across team invites, announcements, and new hire welcome emails.

The problem

Internal emails were messy, filled with walls of text, inconsistent fonts, and a lack of visuals. Every team was doing something different, and it didn’t reflect our creative identity. My challenge was to design a system that unified the experience and empowered everyone to create brand-forward communication.

 
 
 
 

The life cycle

  • Reviewed past comms and met with stakeholders to identify core use cases

  • Created branded, modular templates for events, announcements, and welcome emails

  • Delivered in-situ examples, design system guidelines, and iterated on feedback

  • Workshop production teams to build custom templates based on deliverables

 

My design process

Define Goals

Understand stakeholder’s goals, brand guidelines, and user needs. Consider high performing metrics and/or research design trends.


Sync up

Collaborate with copywriters, PMs, and stakeholders to ensure alignment, then create high-fidelity mockups for internal review.


Pivot or Package

Incorporate feedback and either proceed with another review cycle or prepare final assets for handoff.

 

The solution

The final system brought together structured layouts, clean typography, branded photos, and easy-to-use modules. Each template was crafted for clarity, consistency, and design inspiration.
